Schedules create shifts automatically following a recurrence pattern.
Create a schedule
Supervisors create schedules in the Schedules tab of a site:
| Field | Meaning |
|---|---|
| Template | The checklist for this shift (the version current at planning time applies) |
| Recurrence | Once, Daily, Weekdays (Mon–Fri) or Weekly |
| Weekdays | For "Weekly": the selected days (0 = Sunday … 6 = Saturday) |
| Service time | Time at the site, e.g. 07:30 — in the site's time zone |
| Start date | First service date |
| End date | Optional — nothing is created afterwards |
| Skip dates | Comma-separated dates (2026-12-24,2026-12-31) to skip |
| Responsible person | Default assignment to a cleaner (optional) |
The 14-day horizon
Shifts are only created for the next 14 days. That keeps the board manageable; when somebody opens the app, missing days are created automatically — without duplicates.
Rules you should know
- One shift per schedule and day: the key schedule + service date is unique; restarts or parallel access never create duplicates.
- Daylight saving: if the service time does not exist on a DST day, the shift moves to the next valid time; for a repeated time the earlier instant is used. The schedule preview shows a warning.
- Changes act forward: when editing a schedule you choose an effective date. Only untouched planned shifts from that date are regenerated — started, completed or reviewed shifts stay untouched.
- Stop a schedule: stopping a schedule cancels only never-touched planned shifts. Started work remains.
Substitutions
Any shift can be reassigned to another person at any time. If the substitute has no site access yet, they are automatically assigned as a worker for the service date. The original assignment stays documented.
